Group Event Policies

Locations & Entrances

All venues are located in downtown Bartlesville:

  • Palace Rooms – 309 S. Dewey Avenue
     
  • Lollipops – 311 S. Dewey Avenue
     
  • Nineteen0Eight – 311 1/2 S. Dewey Avenue
     

Nineteen0Eight Access Only:
Nineteen0Eight is accessed from the back of the building. Guests may not enter through Palace Rooms or Lollipops. The door remains locked until the scheduled event start time.


Capacity & Access

Event spaces can accommodate up to 65 guests, depending on layout.

Groups receive full private access to the reserved room during the event time.

For Nineteen0Eight, guests will not be allowed to enter early. Doors will be unlocked at the scheduled start time.

The event host may arrive up to one hour before the event for setup. Additional setup time must be coordinated and approved in advance.


Decorations

Table decorations are permitted.
No décor may be hung, taped, nailed, or attached to walls, doors, or fixtures at any location.


Food & Beverage

Outside food or desserts are not permitted unless pre-approved. If approved, a plating fee will apply.

A 20% gratuity plus applicable tax is added to all groups larger than 8 guests.


Private Bartender – Nineteen0Eight Only

A private bartender is not provided for events under 20 guests or with a minimum spend under $750, unless pre-approved. If a private bartender is requested for smaller events, a special fee may apply.


Event End Time / Hard Stop

Events must conclude promptly at the scheduled end time. Groups are required to finalize their event and exit the space at that time unless prior arrangements have been made.


Payment, Billing & Cancellations

All charges are due at the time of the event, unless otherwise arranged.

We do not require a deposit. However, if an event is canceled within 5 days of the scheduled date, a $100 cancellation fee will apply.

Any damages, excessive cleanup, or policy violations will be billed to the event organizer after the event.


Event Coordination

We will make every reasonable effort to set up and host the event as requested. Accurate details and timely coordination from the event organizer are required to ensure proper staffing and setup.


Lost Items

We are not responsible for personal items left behind. Unclaimed items may be discarded after a reasonable period.


Unforeseen Circumstances

Events may be canceled due to unforeseen circumstances such as weather, emergencies, or other situations beyond our control. We cannot be held responsible for losses related to such cancellations.
